What we collect and why
| What | When | Why (lawful basis) |
|---|---|---|
| Name, email, company details, and your message | When you use the contact form | To reply to your enquiry and, if you ask, arrange a diagnostic (legitimate interests / steps before a contract) |
| Name, email, company details, and your self-check answers | When you complete the friction self-check and request your results | To send your results and follow up about them (legitimate interests; consent where we ask for it) |
| Name and email | When you unlock a Market Insights article | To give you access to the full article and send occasional related insights (consent — you can unsubscribe at any time) |
| Which articles you return to | When you revisit an unlocked article | To understand which topics are useful to you (legitimate interests) |
| How you use the site (pages viewed, clicks, scrolling, device and browser type) | Only if you allow analytics cookies | To understand how the site is used and improve it (consent) |
We do not sell your information, and we do not use it for automated decisions that affect you.
Cookies and similar technologies
- Essential storage: we store your cookie choice, and whether you have unlocked an article, in your browser so the site works as expected. These do not track you.
- Analytics (optional): we use Google Analytics and Microsoft Clarity to understand how visitors use the site, including heatmaps and anonymised session recordings. Clarity masks anything typed into form fields, so we never see what you type there. Until you click Allow analytics, both tools are told you have not consented and do not set analytics cookies. If you click No thanks, that stays the case.
We also use Replit-hosted analytics to count key actions, such as article saves, self-check progress and contact submissions. We send these custom events only after you allow analytics. They do not include names, email addresses, phone numbers, company details, diagnostic answers or scores.
You can change your choice at any time using Cookie settings in the footer.
Who we share it with
We use trusted providers to run the site and our business. They process data on our behalf, under contract:
- Formspree: receives contact, self-check and article-unlock form submissions.
- Brevo: sends emails and manages our mailing list.
- Neon: hosts our database, where enquiries and leads are stored.
- Replit / Google Cloud: hosts the website.
- Google Workspace: our business email.
- Microsoft Clarity: website analytics, with cookies and recordings only with your consent.
- Google Analytics: website analytics, with analytics cookies only with your consent.
- Calendly: if you book a call through our booking link.
- WhatsApp (Meta): if you choose to message us on WhatsApp, including anything you choose to share, such as your self-check results.
- Google Fonts: delivers the website's fonts. Your browser connects to Google to load them.
Some of these providers may process data outside the UK. Where they do, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or adequacy regulations.
How long we keep it
- Enquiries and self-check results: up to 2 years from our last contact with you, unless we become clients.
- Mailing list: until you unsubscribe.
- Analytics data: kept by Microsoft Clarity for its standard retention period (currently up to about 13 months for aggregated data, and shorter for recordings).
Your rights
Under UK data protection law you can ask to access, correct, delete, restrict or object to our use of your data, and ask for a copy of it in a portable format. Where we rely on consent, you can withdraw it at any time, and every marketing email has an unsubscribe link.
Email hello@theknowledgeroom.uk and we'll respond within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113). We'd appreciate the chance to put it right first.
